How to switch payroll providers without missing a payday

Switching payroll providers is mostly a timing and records problem. Done in the right order, employees never notice. Done in the wrong order, you can end up with missed tax deposits or two providers filing the same quarter.

Pick your switch date first

The cleanest switch is the start of a calendar quarter, and the very cleanest is January 1, because year-to-date wage and tax figures start fresh. Mid-quarter switches work, but you must hand the new provider accurate year-to-date records so W-2s and tax filings come out right.

Gather your records before you cancel anything

Pull these from your current provider while you still have access: year-to-date payroll register (gross pay, taxes withheld, and employer taxes per employee), copies of filed quarterly forms (941s) and state filings, your EIN and state account numbers, and the pay schedule. Download employee W-2 history if the portal offers it.

Overlap one pay period if you can

Run the new provider's first payroll in parallel or immediately after the old one ends, with no gap in pay dates. Confirm the new provider's lead time for direct deposit setup - some need several business days before the first live run.

Be clear about who files what

Ask both providers in writing which quarters each will file and who deposits taxes for the transition period. A common mistake is assuming the new provider will file for a period that started before they took over. Keep the confirmation emails.

Tell your employees only what changes

Usually just a new self-service portal link and possibly new pay stubs. Pay dates, amounts and direct deposit should stay the same - that is the point of doing the switch in order.
